About the Company Listing Screen
The following information will be shown on this screen:
- The System as well as the Release Number that you are currently working on, and
- When your registration with Sage expires.
Visit the Customer Zone section on the Sage website for more information about the current release of your system.
Information on the Company Listing Screen
In the centre of the screen it will show the available companies (a maximum of 999 companies are allowed).
Important information such as the processing period, number of employees, tax country, type of company, etc. will also be displayed.
The Company Flag column indicates whether the company is set to Stop Further Entry or not.
Processing Period (Date) = Period End Date and not your Pay Date.
Accessing a Company
- Double-click on the Company that you want to access.
- You will be prompted to enter a Password
- Click on the Company to highlight it.
- Click on <Continue>.
- You will be prompted to enter a Password.
Or
If you make use of the Make use of Login Names option, you will be prompted to enter your Login Name as well as your Password before gaining access to the selected company.
Remember that the Login Names and Passwords are case sensitive.


This button allows you to change the status of a company from Live to either Dormant or History.

This option will display a list of Other Options which are available from the Company Listing Screen.

Global Functionalities will allow you to perform certain actions in multiple companies, without having to access each company individually.
The Global Functions will only be available to users set up for Global Access Control on the Premier System.

Global Access Control will enable you to manage Access Control on directory level.
The principle is that each user will have to log in from a Global Access Login Screen, with a User Name and a Password, and from there will have access to one, selected or all companies, as pre-defined in the Global Access Control by the Super User or the Accredited Sage Business Partner.

Global Access Control Login Screen

This option will give you access to the Customer Portal.

When you click on “Ask Pegg”, the Sage Assistant will open a Chat dialogue screen.

Community Hub is a comprehensive online community offering forums to discuss both Sage solutions as well as current topics and industry challenges; it's the place to help you and others build, support, and learn.

This button is used to make any changes to your Site Code, Maximum Number of Employees, Registration Expiry Date, Licenced Tax Countries or Licenced Modules of your software.
To obtain a Renewal Code, contact the VIP Call Centre.

This button will access the Sage Licence Agreement.
This is the agreement entered into between Sage and yourself when purchasing the VIP Software.
The Licence Agreement can be printed from here.

This option gives details of the changes and additions made to the system which are included in each Update or Enhancement.
See Access and Print Release Notes for more information.

This option will record valuable information that will assist the Support Team and the Users of the VIP System.
When you click on this option, the following information will be displayed:
- The path to where the VIP System is installed,
- The Runtime Version, and
- Number of users licenced for.

It you click on this button, you will be redirected to the Sage website - www.sage.com/za.
Note that you have to be online to access the website.
To return to the Company Listing Screen from the website, click on <Return to Payroll> on the top right-hand corner of the website.

This button will allow you to exit from the system and return to your desktop.

Once you have selected the company you want to work in, click on this button to access the company.
You will be asked to enter your password, after which the Main Menu (i.e. the Splash Screen) will be displayed.

The following options are available from the Options Screen:

You may place VIP companies into Groups so that you can print the same report for all companies in a Group, or print a single consolidated report for all the companies in a Group.
On this screen:
- Click beside the number of the company you wish to include in a 'Group' for reporting purposes.
- Enter a letter as the Group Code, e.g. H.
- The first time you use a letter, you have to enter a description for it, e.g. H/OFF (for Head Office).
- Thereafter when you enter the letter, its description will automatically be displayed.

On the Hardware Information Screen you specify whether you are using a Single or Multi-user run-time as well as the escape codes for printing.

Information about the terminal on which you are working will be displayed.

This screen is used to enter the IRP5/UIF Creator and Contact Person information that is necessary for the electronic submission of your IRP5, UIF and SSC information.
Reset IRP5 Live Run button
This option allows you to reset your Live IRP5 Run, if required.
An authorisation code is needed if you want to reset your Live Run. Please phone the VIP Call Centre or your Accredited Sage Business Partner for assistance.

The System Information Screen displays information about the operating system that you are using.

The Detail for RSA Employment Equity Reports Screen is only available if you are licenced for VIP’s Employment Equity Module. When you are licenced for VIP’s Equity Module, you will be able to enter the details of the Contact Person for Employment Equity Reporting purposes.
The information on this screen will be used when printing the Equity Reports.

The Detail for Namibia Employment Equity Reports Screen is available to Namibia Users who are licenced for VIP’s Employment Equity Module. When you are licenced for VIP’s Equity Module, you will be able to enter the details of the Contact Person for Employment Equity Reporting purposes.
The information on this screen will be used when printing the Equity Reports.

The Skills Development Contact Person Screen is only available if you are licenced for VIP’s Skills Development Module. When you are licenced for VIP’s Skills Module, you will be able to enter the details of the Contact Person for Skills Development Reporting purposes.
The information on this screen will be used when printing the Skills Development Reports.

The ESS Import Control Screen is only available if you are licenced for VIP’s ESS or Job Management Modules.

To be able to access the Company Status Screen you will have to obtain an access code from the VIP Call Centre.
Once you have entered the access code, the Selection Screen will be displayed with three available options to choose from:
- Live,
- Dormant, and
- History.
Once you have made your selection and clicked on <Continue>, the Company Status will be changed.

The Import a Company is used when it is necessary to copy data of a company from one VIP directory to another or to copy data of a company within the same VIP directory. Once the data has been copied you will have to import the company so that it is accessible from the Initial Entry Screen.
Example:
- Use Windows Explorer to copy all the VIP files for the company that is to be imported, into the required VIP directory.
- Once the files have been copied into the VIP directory, access the Initial Entry Screen.
- Once you have selected to Import a Company, you will be prompted to enter the number of the company that is to be imported.
- Enter the Company Number and Password to access the company that you want to import.
- After a company has been imported, it will be displayed on the Initial Entry Screen and you will be able to access it as usual.
It is recommended that you contact the VIP Call Centre for assistance when copying a company.

The Copy System option is used when you wish to copy your program and data files to a new directory.
This is often done at tax year-end where it is useful to have a copy of the information for the year which is about to be finished.
This allows you to answer queries quickly and reprint IRP5’s and serves as the backup of statutory information that must be kept for five years.
- Carefully read through all the information on this screen.
- As soon as you click on <OK>, you will be asked to enter the Directory Name for the system copy. Enter the applicable name.
- If this directory does not already exist, you will be asked if you want to create such a directory.
- During the copy process, the file names of the copied files will be displayed.
- Once all the files have been copied, you will be informed that the copy of the system is complete.
- You will be asked whether you want to create a Shortcut to the directory. Enter the label for the shortcut.
- As soon as you click on <Continue>, a Shortcut Icon will be created on your desktop.

The Job Management Control Screen is only available if you are licenced for VIP’s Job Management Module.
The Job Management Control Screen is used to specify which Job Management fields should be linked to Payroll Analysis fields, such as Job Grade, Job Title, Department, Pay Point, etc., on the Basic Employee Information Screen as well as fields on the Employee Cost Screen.
This screen is also used to indicate which Job Management fields are mandatory when Job Code and Position Code Definitions are defined.

The ASCII File Generator enables you to export VIP data in ASCII format.
The format of the Export File can be specified, e.g. a variable, comma-delimited, .CSV file.
When the file is generated, it can be viewed either in MS Excel, in HTML format or in PDF format. The Activate ASCII Generator Screen may only be used with the help of a VIP Consultant.

The Flow of Info: Premier HR is only available if you are licenced for the Premier HR Interface.
If you are licenced for the Premier HR Interface, this screen will allow you to determine the flow of employee information between VIP Premier Payroll and Premier HR, e.g. adding or transferring of employees.
